Correcting Information on the Register of Approved Vehicles

Subsection 11(1) of the Road Vehicle Standards Rules 2019 (the Rules) states that the Federal Department (the Department) may amend Register of Approved Vehicles (RAV) entries, including removing a road vehicle from the RAV, to correct errors.  These requests to amend RAV entries are done through the ROVER IT system.  The Department will make corrections where an error is identified, and approval holders or their representatives can no longer directly amend RAV fields.

Requesting a RAV correction

Anyone with a ROVER account can submit a request to correct a RAV entry. The request must include:

  • Vehicle identification number, RAV entry pathway and approval number
  • Correct data for all RAV fields
  • Supporting evidence demonstrating that an error exists (eg. Design/drawings, compliance plate images, invoice, sales documents)

Assessor will only consider information on the relevant data field and not on the free text field.

For multiple RAV corrections, you can provide relevant details by either completing a form or uploading a CSV file in rover using ROVER template: Bulk RAV corrections. For more details on how to submit a RAV correction request read the ROVER guide: Correcting information on the RAV.

The status of your request can be tracked in the table on the RAV correction page in ROVER. Requests will progress through the following statuses:

  • Received – Received by the Department and undergoing validation check
  • Invalid – Validation process failed and will not progress further
  • Under assessment – Validation check passed and is being reviewed
  • Decision made – Assessment completed and a decision notice is sent via email by the Department

For step-by-step instructions on notifying one or more errors, including how to check the status of your request and identify any errors, read the ROVER guide: Correcting information on the RAV.

Data Validation Check

RAV correction request must pass the same data validation checks as RAV entry submission before the Department can assess them. If validation is failed an email explaining the error and the next steps will be sent to you. You can check the RAV corrections page for all the errors.

For Vehicle Type Approval entries, ROVER checks the information as you enter it. Any errors must be corrected before the request can be submitted. ROVER will also perform an additional validation check after submission.

For Concessional and Bulk CSV submissions, validation is completed after the request has been submitted.

Assessment & Timeframes

The Department aims to assess RAV correction requests within 10 business days and will notify applicants of the outcome through ROVER.

Only information entered into the relevant RAV data fields will be assessed. Free-text comments are not considered, so all corrections must be entered in the designated fields and supported by appropriate evidence.

If the Correction is Approved

When the Department is satisfied that an error exists:

  1. A decision notice is issued through ROVER.
  2. The RAV entry is updated by the Department.
  3. The corrected information is published on the RAV public search within 4 hours.

Note: The original RAV entry date will remain unchanged.

When a Request May Be Refused

A correction request may be refused if the Department determines that no error exists. Common examples include:

  1. Changes requested to match a customer’s purchase specification rather than correcting an actual RAV error.
  2. Modifications made to a vehicle after it has already been provided to the market.

For further information on requesting a correction to information on the RAV, refer to the Department’s Guidance note – Correcting information on the Register of Approved Vehicles.
